In 2000, PIDC acquired the 1,200-acre former Philadelphia Naval Shipyard, with the goal of restoring economic vitality, creating quality jobs, and supporting the growth and attraction of companies. PIDC seeks an organized, creative, and detail-oriented individual to join its Navy Yard team as Executive Assistant to the Executive Vice President, Navy Yard.


POSITION SUMMARY

PIDC seeks a proactive, detail-oriented Executive Assistant to provide high-level support to the Executive Vice President and Navy Yard team. This role is critical in managing complex calendar coordination, communications, sensitive assignments, and reports in a confidential and professional manner. The ideal candidate is polished, communicative, and thrives in a mission-driven, fast-paced, and collaborative environment.

POSITION RESPONSIBILITIES

Specific responsibilities include, but are not limited to, the following:

Executive Support & Coordination

  • Serve as primary point of contact for the EVP’s office, ensuring timely communication and high responsiveness.
  • Manage complex calendars, meetings, and logistics for the EVP and team, prioritizing meetings, deadlines, and travel in alignment with organizational goals.
  • Coordinate and support EVP meetings, including agenda development, content preparation, ordering catering, follow-up tasks, and tracking.
  • Provide light research and collaborate with team to develop timely briefing materials, talking points, spreadsheets, presentations, and other materials for EVP.
  • Support communications, prioritize incoming requests, and assist in preparing materials.
  • Assist EVP with managing onboarding process for new employees.
  • Track deadlines and action items, ensuring alignment with organizational priorities.

Operations & Administration

  • Track and monitor expenses for the EVP and Navy Yard team, including reconciliation of monthly Amex statements.
  • Prepare and process expense reports, check requests, and invoices, as well as work with PIDC’s operations team and the Navy Yard’s site operations team to ensure invoices are paid in a timely manner.
  • Support timely preparation and submission of Navy Yard contract requests and board resolutions.
  • Assist with real estate documentation, insurance certificates, and lease-related tasks.
  • Organize internal meetings, staff events, and goal-tracking efforts.
  • Document filing, retention, and management utilizing PIDC’s online Laserfiche system.
  • Coordinate use of conference rooms, AV setup, supplies, and vendor relationships.
  • Provide additional administrative and event support as needed.
  • All other duties as assigned by the EVP.

MINIMUM QUALIFICATIONS:

  • HS Diploma required; college degree preferred.
  • Minimum of 7 years’ experience required.
  • Executive or C-suite experience required.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Must possess excellent written and verbal communication skills.
  • Must be detail-oriented with well-developed organizational and analytical skills.
  • Must have outstanding interpersonal skills, work effectively on teams, and maintain composure in stressful situations and under tight deadlines.
  • Demonstrated ability to manage and meet multiple and constantly challenging deadlines.
  • Comfortable with occasional early mornings or evening support
  • Self-directed with the ability to work with little supervision and extremely dynamic daily and weekly priorities.
  • Must be a resident of the city of Philadelphia or willing to relocate within six (6) months of hire.
